We have outlined below the member data we collect and store, and how we use that data.
When do we collect data?
We collect personal data when members and staff at member institutions provide us with their contact details e.g. when they join GuildHE or a GuildHE Network.
What data do we collect?
We store the names, job titles, institution addresses, phone numbers, email addresses provided to us by our members and the staff at member institutions. We record event attendance and what mailings have been sent to colleagues. Where relevant (e.g. when attending an event), we also record access or dietary requirements.
Why do we collect?
We collect this data so that we can communicate effectively with our members and deliver benefits to our members through mailings and events.
How do we use it?
We will never share your data with other organisations unless this is necessary for you to attend an event or subscribe to a list you have opted in to, and we will never sell your data to other organisations.
How long do we keep it?
We keep records until we are notified that a contact has left the member institution, in which case we delete the associated records. We will also delete records should an institution’s membership lapse, or if we receive a request from an individual.
Lawful Basis
We use legitimate interest as the lawful basis for processing the data of our members and the staff at member institutions who belong to the GuildHE Networks.
